Once students have been assigned to a sitting for the Cambridge Wellbeing Check, their passwords can be found in the Sittings>Manage section of the site:
To export a CSV spreadsheet with students’ passwords, select the sitting you wish to download the passwords for and click ‘Export’:
The spreadsheet will then download to your device.
It should be formatted like this:
Mail merge using an Excel spreadsheet
You may find it easier to distribute your students’ passwords using the mail merge function in Outlook, in conjunction with Word, with the CSV spreadsheet that you’ve exported from the platform as above.
Please note: Mail merge is a feature within Microsoft Office. If you experience issues with this feature in Microsoft Outlook/Word, please contact Microsoft.
A column can be added to the spreadsheet with email addresses, like the one below:
Your spreadsheet is then ready to link to your mail merge.
Open Word and select ‘Mailings’ from the options in the bar along the top of your screen:
Select ‘Start Mail Merge’ and ‘Email Messages’:
Then, to add your recipients, click ‘Select Recipients’ and ‘Use an Existing List’:
Here you can upload the CSV you have just exported from the Cambridge Wellbeing Check platform and edited with the students’ email addresses.
You will then need to insert a merge field (placeholder) where you would like the personalised information, such as students’ names and passwords, to appear in the email.
Ensure your cursor is where you wish the merge field to be, click ‘Insert Merge Field’ and select the option you require, and the merge field should then appear in the text. Below is an example for the password merge field.
Once you are happy with the email contents, recipients and merge fields, click ‘Finish & Merge’ and ‘Send Email Messages’:
Ensure that the ‘To:’ dropdown is correct for your email address column. You can then edit the subject line of the email. Click ‘OK’ and your emails will be distributed to your students.
